StudentKeeper's Organizational Overview dashboard provides insight into the students' full online history and wellbeing, and the teachers' use of AI (artificial intelligence). Visibility into the students' activity on a district level better informs assessments and aids strategies towards the betterment and safety of the students at-large.

How to Access the Organizational Overview
1. Log into StudentKeeper.
2. In the left menu, select Reporting > Organizational Overview.
3. StudentKeeper will load data for all the students and teachers in your district.
How to Use the Organizational Overview Dashboard
Refreshing the Data
1. Click the Auto Refresh icon in the upper-right corner.
2. Select the desired interval. StudentKeeper will auto-refresh the dashboard based on your selection.
Drilling Down Into the Data
Dashboard Tiles with Numerical Values
1. Click on a numerical value, description, or statistic. (See examples in the images below.)
2. From the dropdown menu, select the desired option.

- See these records: View the records in a list view. Use the column headers in the list to sort and/or filter the data.

Break out by...
- Category: View the records filtered by category. For example, if you clicked on the statistic within the 'Count - Behavioral Alerts triggered' tile and selected 'Break out by > Category > Month,' you will see a bar chart displaying the number of times the users keyed in categories related to behavioral alerts per month. Scroll to the bottom of the screen to change the settings and/or visualization.
- Time: View the records filtered by periods of time. For example, if you clicked on the statistic within the 'Count - Behavioral Alerts triggered' tile and selected 'Break out by > Time,' you will see a line chart displaying the peak number of times the users keyed in categories related to behavioral alerts per day. Scroll to the bottom of the screen to change the settings and/or visualization.

Filter by this value...
- < : View all records with a value less than the value you selected. For example, if students entered the search term "gunman" 539,412 times, selecting the < filter will generate a list of all search terms the students entered fewer times than "gunman." Scroll to the bottom of the screen to change the settings and/or visualization.
- > : View all records with a value greater than the value you selected. For example, if students entered the search term "gunman" 539,412 times, selecting the > filter will generate a list of all search terms the students entered more times than "gunman." Scroll to the bottom of the screen to change the settings and/or visualization.
- = : View all records with a value equal to the value you selected. Dashboard Tiles with Charts
1. Hover over a search term or a slice. StudentKeeper will highlight the term/slice with the accompanying stats; everything else will be faded out.

Safeguarding and Wellbeing Snapshot
The tiles in this section of the dashboard (Notes - Total Entered, Capture Count of "High" Severity, Notes - By Category, Notes - By Location of Observation) will display statistics related to any alerts generated by StudentKeeper triggered by a student's behavior. These statistics help staff to identify areas in which the welfare of their students needs closer attention.
Notes - Total Entered
The number of Notes generated during the most recent 30-day period.
Capture Count of "High" Severity
The number of Captures generated that were flagged as high-severity.
Notes - By Category
This pie (doughnut) chart represents the categories for all of the Notes made for the students. Each slice represents a category and its proportion in relation to the other categories. The legend on the left lists the categories; they are ranked from top-to-bottom, most common to least common.
Notes - By Location of Observation
This bar chart connects a Note with the physical location where an incident took place that warranted the Note.
Student AI Engagement - Snapshot
The tiles in the Student AI Engagement section (Student Use - This Week, Guardrail Interventions - This Week, Mental Health Mentions, Student Token Usage, Student Use - Context Category, Students - Guardrail, Student Use Over Time) will display statistics for when and how the students engage the Aria AI (Artificial Intelligence) chat bot. Students can access the Aria AI chat bot while logged into StudentKeeper, via a url or pop-up from the client. Aria behaves similar to ChatGPT; students can make queries and Aria will return answers.
Aria (AI) - Student Use - This Week
The number of students that used Aria during the most recent week (Sunday - Saturday).
Aria (AI) - Guardrail Interventions - This Week
When students make queries through Aria, guardrails are in place to ensure that the returned information is safe and age appropriate. If the response to a query generates unsafe content, the content will be flagged and no response will be given to the student. The Guardrail Interventions tile displays the total number of times this occurred in the most recent week (Sunday - Saturday).
Aria (AI) - Mental Health Mentions Total
The statistic represents the number of students that used AI for a mental health-related query during the most recent week (Sunday - Saturday).
Aria (AI) - Student Token Usage
In AI, each word or punctuation mark in a query can be considered a "token." The Aria - Students Token Usage tile displays the total number of tokens used by the students. The higher the number of tokens, the greater the AI usage (engagement) by the students.
Aria (AI) - Student Use - Context Category
This pie (doughnut) chart represents the categories for all of the AI queries made by the students. Each slice represents a category, the number of times a query was associated with it, and its proportion in relation to the other categories.
Aria (AI) - Students - Guardrail
This pie (doughnut) chart displays the total number of guardrail triggering events grouped by category.
Aria (AI) - Student Use Over Time
By default, this line graph displays the total number of distinct students that engaged Aria each day. Click on any data point to view the data in a line chart, or to select other options for viewing and filtering the data.
Teacher AI Engagement - Snapshot
The tiles in the Teacher AI Engagement section (Classroom Use - Teacher/Admin, Note Creation - Teachers/Admin, Teachers Use, Teachers Use Over Time) display statistics for when and how the teachers engage the Aria AI (Artificial Intelligence) chat bot.
Aria (AI) - Note Creation - Teachers/Admin
The number of Notes that were created with the assistance of Aria.
Aria (AI) - Classroom Use - Teacher/Admin
The number of queries made through Aria.
Aria (AI) - Teachers Use
This pie (doughnut) chart displays the number of times the individual teachers engaged Aria and how their engagement compares to one another.
Aria (AI) - Teachers Use Over Time
By default, this line graph displays the total number of distinct teachers that engaged Aria each day. Click on any data point to view the data in a line chart, or to select other options for viewing and filtering the data.
How to Download a Dashboard Tile
1. Hover over the right-corner of the tile. An ellipsis (3 dots) will become visible.
2. Click Download results.
3. After selecting the desired file type and format, click Download.
How to Export and/or Subscribe to the Dashboard
1. Click the sharing icon in the upper-right corner.
2. Select the desired option.

- Subscriptions: Select this option if you would like to receive an email of the dashboard at regularly scheduled intervals. In the pop-out panel, input your settings. When finished, click 'Done' in the bottom-right corner.
- Export tab as PDF: Select this option if you would like to export the dashboard. The PDF will reflect any filters applied to the dashboard at the time of the export.
