Captures are automatic screenshots taken when a student types specific, pre-defined trigger keywords or phrases. These captures provide visual context for potential concerns and can be reviewed by staff. From a capture, staff can create a detailed note that documents the incident, which is then saved under the student’s profile for future reference and accountability.
Prerequisites:
- Access to capture manager
How to view captures:
1. Click Captures, under Safeguard.
2. This will display all triggered captures within your system. The captures have designated areas such as:
Pending: This displays all pending triggered captures until they are assigned.
Assigned: These captures have been assigned to a designated staff member.
Discarded: These captures have been discarded and removed from the main screen.
3. When you hover over or click on a capture, it will display the details about the capture. From here, you are able to do the following:
- Create Note: This allows you to create a note based on this specific capture.
- Assign: You are able to assign this capture to a designated staff member to review.
- Discard: Discards the capture.
- Send: Send the capture to a designated staff member.
Grouped View:
The grouped view allows you to have all captures from that specific student grouped together. You have the ability to create a note based on multiple captures from that student.
Processed: Once the user selects an action and it is saved, the captures will appear under the Processed section.
How to create a note from a capture
1. Click on the Create Note button.
2. After you click the button, complete the designated sections. The information provided will be available under the students profile.
- Title: Title the note
- Student: Select the student(s)
- Note Type: Select the type of note you are creating
- Notes: Add any additional notes in reference to the capture
- Files: Add files to note
- Parent Communication: Select email or phone and include additional notes
- Body Map: If there are marks on the student, click the spots where they are located
- Captures: Displays the capture associated with the note
3. Click Create to create a note associated with the capture.
