Data Integration: Automatic role assignment based on SIS role

If your system is synced with your SIS/MIS through Edlink/Wonde, you can take advantage of Auto Mapping to simplify role management in StudentKeeper. This feature automatically assigns roles to staff based on their SIS roles, aligning them with corresponding system roles in StudentKeeper. To use Auto Mapping, you’ll need administrator access, an active data sync via Edlink, and access to StudentKeeper's Role Management settings. Currently, Auto Mapping is only compatible with system groups, following a predefined role conversion chart. The steps below outline how to enable and configure this feature.

Prerequisites:

• Data sync with SIS via Edlink

Enabling Auto Mapping for StudentKeeper roles

This is currently only compatible with our system groups. Below is a list of Edlink roles and how they match up to our system roles in the format: Edlink > StudentKeeper.

• Student > Student
• District-Administrator> Admin
• Administrator>Staff
• Teacher>Teacher
• observer> none
• Parent> Guardian
• Guardian> Guardian
• TA>Proctor 
• Aide>Proctor
• Designer>staff

To enable this follow the steps below:

1. Click on User/Role Management.
   
   
   
    
2. Select Roles & Permissions.
   
   
   
    
3. Click on a system group and then select Edit Role.
   
   
   
    
4. Toggle on the Auto Mapping option to begin matching roles to the conversion chart listed above. Click Save in the bottom right corner.
   
   
    
5. Repeat the process for all of the Groups you want automatically mapped.

Note: While Administrators can assign a built-in role to a user, or create a custom role, it is recommended to use the System Roles whenever possible to ensure product updates and the latest improvements apply as expected.
